The AESOP system
works to find substitutes with a convention called preference lists. Substitutes
can be placed on preference lists at four different levels on the system. These
levels are as follows:
1. District preference list (Level 1) - Qualified substitutes on this list would have the potential to be called for any school in your district. This list is valuable because substitutes placed on this list do not have to be placed on each schools list that they wish to substitute for. We recommend that a large percentage of your substitute pool (if not nearly everyone) be put on this list for best results.
2. Region or School Grouping Preference list (Level 2) - Qualified substitutes on this list would have the potential to be called for any school which reports to this particular group. For example, many districts group regions together (if the school district is spread over a wide geographic territory). This is useful for substitutes who wish only to be called for positions close to their homes. This can also be used to call only substitutes for "elementary" jobs or "secondary" jobs if the elementary or secondary schools are grouped together.
3. Individual School Preference List (Level 3) - Qualified substitutes on this list would have the potential to be called for jobs open in this school. This is valuable if a substitute has indicated that they only wish to sub for a small number of individual schools (the substitute could be placed on each schools' preference list, but not on the regional or district preference list.
4. Worker Preference List (Level 4) - Qualified substitutes on this list would be the first called when this particular employee registers an absence. This list is best used when employees who do not have the permission to "assign" their own substitute, but who do have substitutes that they prefer. AESOP will give calling preference to these substitutes when trying to fill the position.
IMPORTANT NOTES:
1. When AESOP looks for potential substitutes to fill a position, it works from the "bottom up." This means that if you have substitutes specified at the 3rd level, or school level, they most likely receive a call from AESOP before a substitute on the highest level.
2. A substitute can be placed on more than one preference list.
3. The most efficient and easily managed way to place your substitutes would be to place as many as you can on the district preference list, and to specialize only for the substitutes who only wish to be called for jobs in particular schools or for particular workers.
4. Only substitutes who are entered on a preference list at one of these levels will ever have access to a job. If a substitute is not added to a preference list, they will not have access to jobs, and they will not be able to be assigned to any jobs. An important step when adding a new substitute is to specify what preference list(s) the substitute should be on.
To access the preference lists, please follow the instructions below:
1. Once logged on to AESOP WebNavigator, proceed to Master Data, then School System.
2. To see or edit the various preference lists, , click on the appropriate name of the school level you wish to modify to be directed to the general information for that school, region, or level.
3. From the General Information page, click on the tab called "preferred substitutes"
4. From here you will be able to see all the substitutes that are currently on this list. To make changes, click "view all", then "edit." You will then be able to add names or subtract names from this list.
